What is ABC’s Staff Supply Closet?

The ABC Staff Supply Closet (“Supply Closet”) is an online portal for ABC Staff ONLY to order directly from. Items available include our swag, publication, and print item inventory with Neyenesch Printers & Fulfillment. It is managed by ABC’s Comms & Marketing team.

Why is it called the "Supply Closet”?

The Supply Closet is just that — an online version of a “supply closet” you might find in a traditional office setting, but fully accessible to our remote staff. This is for ABC Staff ONLY, and requires an ABC email to set up an account and order items.

We are intentionally NOT calling this an “online store,” because it isn’t! This closet is meant for ABC Staff ONLY to order swag and/or publications and printed materials for business use.

A credit card is not necessary to order from the Supply Closet — instead, you will supply applicable ABC budget information that will be used to charge against for your orders. A billing address is required to make an order, but that is strictly a formality. You should consider that to be a confirmation of the mailing address used.

To reiterate: the Supply Closet will not be a system available to anyone outside of ABC. There ARE plans for a public-facing online store in the future, which will be a completely separate site and system.

Where and how do I access it?

The staff supply closet can be accessed online at abcbirds.org/SupplyCloset.

As the Supply Closet is for ABC Staff ONLY, an ABC email address is required to create an account and access the site.

What does it contain/offer?

The supply closet will have a variety of ABC-branded items available for staff, including swag, publications, and printed materials. Items available may vary based on current inventory.

Examples of items include past issues of Bird Conservation magazine, ABC stationary (e.g. thank you notecards), paper handouts (e.g. About ABC brochure, programmatic specific flyers), ABC hats, and ABC t-shirts.

What does it cost? Are there shipping costs?

Currently, programs need to pay for the cost of all items and total shipping of each order from your existing budget resources. You’ll need to use a valid ABC program name when placing your order, and you can expect to see those expenses charged to a segment code related to that program. This will happen behind the scenes with input from Comms & Marketing and Finance.

Due to the site build requirements and set up, only the highest level programs and segment codes could be listed as options. If you have more specific codes or budgeting information that needs to be accounted for please be sure to add that in the “notes” field when placing an order and/or reaching out to Jordan Rutter and your Finance Officer to ensure that detail is flagged for processing.

Items will vary in cost based on their value and production costs. The unit cost will be listed next to each item similar to other online store set-ups; some items are priced on a single unit, and some are offered in “packs.”

Yes, there are shipping costs, and those will vary as well. All shipping will be via UPS. Rates change regularly due to location, fuel surcharges, and other fees.

Shipping within the U.S. is automatically estimated at checkout once the shipping address has been added.  The estimate is based on UPS Ground (slowest shipping option because it tends to be the cheapest). Expedited shipping is not a default option in the portal — only UPS Ground.

Please know this will only be an estimate and may not match the final cost. This is due to the final dimensions of the package along with the additional fees that include, but are not limited to fuel surcharges which vary based on location.

All items are sent from San Diego, CA 92101.

For awareness and any shipping cost estimations, ABC’s member magazine weighs 8 ounces per copy.

What do I use as my billing address?

You can use your mailing address as the billing address. This may or may not be the same as the shipping address where your items will be sent. Consider “billing” address to be associated with who is responsible for the order ultimately.

Who can I ship things to?

Shipping is via UPS and therefore U.S. destinations can almost always be accommodated.

I need receipts for my orders to submit to ABC Finance and/or grants. How do I get those?

Items you order will now have receipts that you can screenshot immediately after you place an order and/or access in your online account at any time. The postage listed is only an estimate though so please make note of that accordingly – it will not be listed as an “estimate” on any receipts from the site.

Final postage costs for an order will come later via ABC’s UPS account. Those costs and copies of those invoices will be shared with folks accordingly, housed on Egnyte, and collated with the item order invoices for Finance. Any questions can be directed to Jordan Rutter.

Can I request something I don’t see in the Supply Closet?

Requests are welcome. Please share your ideas and requests via the Comms & Marketing request form. Budget and logistics are key factors for consideration regarding production and availability timeline.

If an item is more specific to a division or group of staff (e.g. field staff signage) and having it available or distributed via the supply closet would be useful, this is also possible. It is also possible to have items require approval for “restricted” items if necessary (e.g. items for new staff only) However, there are no guarantees, and submitting a thorough request to start a conversation is the best place to start.

How far in advance do I need to request things from the Supply Closet?

The earlier the better.

Fulfillment by Neyenesch averages 24-48 hours from when an order is placed.

The default shipping option is UPS ground which averages a week between shipping and delivery however does vary.

If you’re requesting a product that requires any design work or general production for later availability via the supply closet, then two months minimum is required (from confirmation of a project is being started to final product available) — though still may not be possible, as many different factors are involved. Please share those requests by submitting via the Comms & Marketing request form.

How do I order multiple shirts of different sizes?

Each size shirt order must be added to the cart separately.

How do I order multiples of a magazine issue?

You can type your desired quantity under “Kit Quantity” on the product page.

What is the Recipient List Manager?

ABC Staff can’t currently add records to the Recipient List feature in their Supply Closet account. This is a standard feature of the site design, but not applicable to ABC Staff.
